Privacy Policy
Effective October 9, 2026 · Applies to the AZ Power rep app for iPhone and Android and the rep portal at portal.azpowerprograms.org
1. Who we are
AZ Power Program ("AZ Power", "we", "us") runs the AZ Power rep app and rep portal (together, the "App"). The App is a work tool for AZ Power Program sales representatives and staff ("reps", "you"). It isn't offered to the general public. To use it you need a login issued by an AZ Power manager. Questions or requests: bgomez.energy@gmail.com.
2. Information we collect
Account and profile
- Name, login email, phone number(s), position/title, and the details on your digital business card (bio, optional photo, booking link).
- Your 6-digit passcode, stored only as a salted hash (we can't see it).
- Your HighLevel user link, so the App can show the deals and conversations assigned to you.
Location (optional, shift-only)
- GPS position (latitude, longitude, accuracy), speed and heading and phone battery level when the device provides them, and the time it was recorded.
- When: only after you agree to location sharing and allow location access, and only while you're clocked in or have started a "Start Knocking" shift, or while you have turned on "Tracking on" yourself in My Map. It is never collected when you're off shift with tracking off.
- Traccar Client (optional): a manager may ask you to use the free Traccar Client app instead of, or alongside, the AZ Power app. It sends the same kind of location points to the portal under a device ID your manager gives you. Points it sends outside a shift are discarded, not stored.
- Background location: in the iPhone and Android apps, if you allow it, location keeps recording while your phone is locked or the App isn't on screen during an active shift, so your route is complete. It stops when you tap Stop shift (in the App, the iPhone Live Activity, or by clocking out). Start Knocking shifts end automatically after 16 hours. On iPhone, a Live Activity shows while a shift runs. On Android, a notification stays visible the whole time.
- Points are recorded about every 5 seconds while you're moving (about every 5 meters) and every 30–60 seconds while you're standing still. Points with poor GPS accuracy (worse than 50 meters) are not shown on maps.
Shifts and activity
- Shift start and stop times, doors-knocked count, and the leads you add during a shift.
- Sales activity and pay information from AZ Power's systems (for example, deal stages, dates, commission amounts, and KPI counts).
- How many times your business card was viewed or saved.
Leads and customer information
- Homeowner details you enter yourself: name, phone, address, notes, and interest level.
- Customer and deal records from AZ Power's CRM (HighLevel): customer names, contact details, addresses, deal stage, and project dates.
Messages
- Text conversations with customers are sent and stored by HighLevel (LeadConnector), AZ Power's CRM. When you open Texts, the App loads the conversations assigned to you from HighLevel. When you send a text, the App passes it to HighLevel for delivery.
Technical and security data
- A signed sign-in cookie, your IP address and device/browser type (used for sign-in protection and rate limiting), and records of your location consent (version, time, device type).
- We do not use advertising identifiers, ad networks, or third-party analytics or tracking SDKs.
3. How we use it
- Run the App: sign-in, your dashboard, deals, timeline, KPIs, incentives, and business card.
- Manage sales work: pipeline tracking, commissions and pay, performance (KPIs), and contests.
- Location: show your routes (My Map), territory coverage and door-knocking activity (Team Map for admins), and team safety in the field.
- Talk with customers through HighLevel.
- Keep the App secure, prevent abuse, and fix problems.
We don't sell personal information, share it for cross-context behavioral advertising, or use location for advertising.
4. Who can see it
- You see your own profile, deals, leads, shifts, routes, and conversations.
- AZ Power admins and managers can see reps' profiles, deals, KPIs, shifts, and location history (Team Map) to run the team.
- Other reps see only limited team information, such as names and positions.
- Customers only see the business card you choose to send them.
5. Sharing with service providers
| Provider | Role | Data |
|---|---|---|
| HighLevel / LeadConnector | CRM and messaging (processor for AZ Power) | Customer contacts, deals and pipeline, text conversations, rep user links |
| Hosting and network providers (e.g., Render, Cloudflare) | Run and deliver the App (processors) | All App data in transit and at rest, as needed to host it |
| Apple and Google | App distribution; the operating system's location and Live Activity services | As described in their own privacy policies |
We may also disclose information if the law requires it, to protect people's safety, or as part of a business transfer, in which case this policy continues to apply.
6. How long we keep it
- Location points, shift records, door counts, and daily summaries: for the length of your employment with AZ Power Program, starting on your start date. When you leave, they're kept as a read-only archive that only admins can see, so commission, payroll, and work disputes can be checked. They're deleted only when you make a verified deletion request (see section 7) or an AZ Power admin deletes your field data. Deactivating your account does not delete them.
- Leads you saved and account and profile data: kept while your account is active. After a verified deletion request or account closure, we delete them within 90 days, except where we must keep records (for example, commission, payroll, tax, or legal records).
- Customer, deal, and message records in HighLevel follow AZ Power's CRM retention.
- Security logs: kept for a short period, as needed for security.
7. Your choices and rights
- Location is optional. You can start a shift without location. To stop sharing at any time, go to My Map → Privacy & consent → Stop sharing, or turn off location for AZ Power in your phone's Settings.
- Background location can be changed to "While Using" or "Never" in iOS Settings, or managed in Android Settings, at any time.
- Access, correction, and deletion: email bgomez.energy@gmail.com with the subject "Data request" or "Delete my data" from your login email. We'll verify it's you and respond within 30 days. Deleting your data closes your App login.
- Depending on where you live, you may have more rights under privacy laws. Contact us and we'll help.
8. Security
The App uses HTTPS (TLS) for all traffic, hashed passcodes, signed HttpOnly session cookies, sign-in rate limiting, and role-based access, so reps can't see other reps' private data. No system is perfectly secure. Tell us right away if you think your login has been compromised.
9. Children
The App is for working adults. It isn't directed to children, and we don't knowingly collect data from anyone under 18.
10. Changes
We'll post changes on this page and update the effective date. If we change how location is collected or used, we'll ask you to agree again in the App before collecting more.
